How Many Servers Do You Need for a Catered Event?

A common staffing rule is one server per 20–25 guests for a buffet, one per 12–15 for family-style and one per 10–12 for a plated dinner, plus one bartender per 50–75 guests and a catering lead. Staff are usually billed by the hour with a 4–5 hour minimum, so staffing can add a lot to the total.

Staffing is often the hidden part of a catering quote. Too few servers means long lines and cold food; too many costs money you did not need to spend.

Hourly Minimums

Most companies bill staff for 4–5 hours minimum, including setup and cleanup. An event with 2 hours of food service may still be billed for 5 hours per person.
